关于转接电话的礼仪
■转接电话拿着话筒和放下话筒一个样
很多人在拿着话筒时,通常会比较注意自己的语言,会说“您找哪位?请您稍等。”放下电话找人时,往往忘了对方也能听见,变得随心所欲,就像前面案例中所说的,变成了“是个男的”,或者说“一个有外地口音的人”,“一个声音挺娇的小姑娘”。当对方在电话里听到这些形容方式时,会感到不愉快。因此转接时,要同样用客气的方式叫人,或者应该用手捂上话筒,注意隔音。
■做好电话记录
如果对方要找的人不在,要尽量做好电话记录工作。记录内容包括什么人、什么时间打的电话、大概是要说什么事(如果对方不愿意不必强问)、对方有什么要求(一看到字条马上回电话,还是晚上再打电话等)。通常很多人在转接电话时不予记录或者记录得非常简单,只有一个姓和一个电话号码,这样对方要找的人工作繁忙的话,这种电话可能得不到及时回复。
■确认对方姓名身份尽量用褒义词语
替人转接电话,确认对方姓名时,尽量要用褒义词语。不要脱口而出,用习惯用语去确认对方的姓名。比如“您姓孙,是孙子的孙吗?”“您姓冷,是冷淡的冷吗?”诸如此类,让对方听了感到不快。其实可以改成“是孙子兵法的孙吗?”“是冷热的冷吗?”在记录对方电话号码时,则一定要重复,以免记错。
■未经要接电话者同意不要轻易将手机号码告诉对方
转接电话时,如果来电者要找的"人不在,对方询问手机号码时,转接者一定要经过要接电话者同意才能把手机号码告诉对方。否则可能严重干扰到要接电话者的工作或生活。
■讲究口德不乱传闲话
如果转接到了一个敏感人物的电话,比如大家怀疑某某跟某某有特殊关系,恰好某某打电话找某某时被你接到了,这种时候千万不要捕风捉影,不要去转告第三人“谁给谁来电话了”,更不能在旁边偷听对方的电话内容。不论是绯闻还是面对关系过于紧密的上下级,接电话者都不能妄自猜测,随意传播。就像案例中所说的小飞的例子,随意猜测传播严重破坏了正常的人际关系。

3.如果来电者要求转接某个职位的人
如“请找接待员们的人力资源总监听电话好吗?”“接待员帮接待员转到他办公室。”然后,接待员试着将电话转到相关的秘书哪里。
4.如果来电者说出要找的人的名字
如:出现来电者说出要找的人的名字——接待员必须回答:“请稍等,接待员帮接待员转到他的办公室。”然后,试图将电话转给相关秘书。
如果秘书的电话占线或找不到秘书——接待员必须回答:“对不起,XX先生电话正占线,您要等一下吗?”
如果对方回答“是”,请保留来电者的电话不挂段,但等到快一分钟时,接待员必须跟来电者确认是否还要继续等候。接待员必须说“XX先生的电话还在占线,您还要等侯吗?”如果回答“否”,接待员必须说:“请问您有什么事接待员可以转告吗?”
5.如果接待员知道相关的人员现在不在办公室
如接待员知道相关的人员现在不在办公室——接待员必须说:“对不起,XX先生暂时不在办公室,请问有什么事情接待员可以转告吗?”或者说“对不起,XX先生去出差了,请问有什么事情可以转告吗?”千万不要在不了解对方的动机、目的是什么时,随便传话,更不要在未授权的情况下说出指定受话人的行踪或将受话人的手机号码或家庭电话号码告诉来电者。
6.如果来电者不希望和具体某个人或者不确定和谁通话时
如来电者不希望和具体某个人或者不确定和谁通话时,接待员必须说“有什么可以帮到您的吗?”通过与他的对话了解来电者的目的。如果是投诉电话,接待员应该仔细聆听后,帮他们找到可以帮助的人,但不能将电话直接转到公司领导那里。如果是一般性的推销电话,接待员必须说:“对不起,XX先生外出香港了,他的秘书暂时联系不上,您需要接待员转达什么信息吗?”
7.如果来电者拨错了号码时
如来电者拨错了号码接待员必须说“对不起,您是不是打错了呢?这里是XX”。如果有必要接待员还可以告诉来电者“这里的号码是XXXXXXX”。
8.如果一次通话占用了较长时间又有其他电话进来时
